Our Terms & Conditions


In the following terms & conditions “the photographer/s” shall mean Andy Thomas and/or any assistants or alternative photographers that may be required to work as part of the company, trading as Chic Media Ltd. 

“The client(s)” shall be those persons defined as the couple in the wedding booking or the person/s booking on behalf of the couple to be married.

 It is agreed that the following terms set out the total agreement made between the parties and that no variation or modification of this contract shall be effective unless agreed by both parties in writing. 

Booking Fee Payment 

A booking fee of £350 as well as full acceptance of the terms and conditions secures the time and services of the Photographer/s for the wedding. 

The booking fee is non-refundable or transferable in the event of a cancellation, it being the agreed loss suffered by the photographer due to cancellation. 

The booking fee will be deducted from the cost of the client’s chosen package when calculating the final balance due. 

Payment in full of the remaining balance will be due no later than 4 weeks before the wedding day and can be paid in full or in 3 part payments of the total balance. 

Weddings that are postponed or changed to an alternative date will retain the booking fee as long as the photographer/s can reschedule for the new date and time. 

Force Majeure / Act Of God 

The booking fee will still remain non-refundable but we will change any postponements to alternative dates, free of charge. 

In the event of no option but a cancellation, you will be allocated a 100% credit of the non-refundable booking fee amount. 

This will have no expiry date and can be used for any of our Photo, Video or Photo Booth Services. 

The due performance of this contract is subject to alteration or cancellation by either party owing to any cause beyond their control. 

Although all equipment is checked regularly and reasonable steps are taken to ensure backup equipment is available, the photographer will not be responsible for photographs that are not produced due to technical failure. 

Wedding Arrangements 

The details of the wedding arrangements and schedule of the day are to be discussed beforehand and must be confirmed in writing (email or message is acceptable). 

The Client must notify the Photographer/s of any changes to these details no later than 48 hrs before the wedding day. 

The Photographer/s cannot be held liable for delays or disruption in their delivery of the service until any changes are received, and acknowledged in writing. 


The Client may cancel this contract at any time by giving written notice to the Photographer/s but in doing so shall forfeit any monies paid. 

Cancellation less than 12 weeks before the wedding will result in the payment in full becoming due. Any cancellations must be confirmed in writing. 

Cancellation costs for cancellation requests received after the 14 day period are as follows:

  • 14 days after booking and more than 1 year before the wedding date: £350 (booking fee)
  • 14 days after booking and more than 6 months before the wedding date: £350 + 25% of the balance
  • 14 days after booking and less than 6 months before the wedding date: £ 350+ 50% of the balance
  • 14 days after booking and 12 weeks or less before the wedding day: £350+ 100% of the balance

Display of Images 

The client(s) hereby allow(s) the photographer to display any photograph covered by this contract to generally promote the business in advertising, brochures, magazine articles, websites, social media and sample albums etc where deemed fit by the company. 


The photographer/s will usually take a short break during the sit-down meal and return in time for the toasts and speeches where necessary. 

It is not mandatory for you to feed the photographer/s but this must be decided prior to the day and confirmed to the photographer/s. 

If you do decide to feed the photographer/s, it is requested that they eat away from the rest of the wedding guests as they use this time to manage equipment, recharge devices and on occasion, begin culling and/or editing images where possible.


All images will be adjusted for exposure, brightness, contrast and sharpness, etc. The Photographer/s judgement regarding these corrections and the number of images put forward to the Client for preview shall be deemed correct. 

Retouching, digital manipulation and artist finishing will also be applied to images of the photographer/s choosing where deemed necessary. 

Final Images 

All final image sizes are nominal and chosen by the photographer/s. 

The Photographer/s will provide a pleasing colour balance but cannot guarantee exact colour matching as it is sometimes impossible to record on film or digitally the exact colour as seen by the human eye. 

For a booking involving a church ceremony or at certain venues, the photographer’s movements are sometimes restricted by the official in charge. 

The area from which the photographer/s is able to cover the ceremony may not be the photographer’s choice and the photographer/s cannot accept responsibility for any obstructed view should this be the case. 

The final amount of images will be dependent on the chosen package.

The images will be delivered to the client via a link to their online gallery. This will be emailed or messaged as soon as the images are completed. 

The editing time can take up to 8 weeks depending on the time of year and workload of the company. 

The photographer/s shall not be deemed at fault should they exceed the usual editing time due to unforeseen circumstances. 

Prints / Reorders 

All prints and reorders shall be treated as an extension of this contract and no responsibility for error will be accepted unless orders are given in writing. 


The copyright Designs and Patents Acts assign the copyright of the images to the photographer/s. 

Any images or copies of images whether stored digitally or otherwise and any computer program including any source or object code, computer files or printed documentation relating to such images are protected by the Copyright and Design Act 1988. 

It is contrary to the Act to copy or allow to be copied photographically/electronically or by any other means, an image created as part of this contract without the permission of the photographer/s in writing. 


The Photographer/s shall be granted artistic licence in relation to the poses photographed and the locations used. 

The Photographers judgement regarding the locations/poses and number of images taken shall be deemed correct. 

Due to the vagaries of the weather and the willingness of subjects, it may not be possible to capture all the images requested but the photographer/s will do their best to achieve all shots previously agreed upon.


In the unlikely event of the assigned Photographer/s being unable to attend your wedding due to unforeseen circumstances,  we reserve the right to appoint alternative photographer/s to attend your wedding on our behalf to undertake the wedding photography to his/her best ability. 

Limitation of Liability 

In the unlikely event of total photographic failure or cancellation of this contract by either party or in any other circumstance the liability of one party to the other shall be limited to the total value of the chosen package. 

Neither party shall be liable for indirect or consequential loss. 

Personal Accident 

Any directions issued to clients, their guests or employees during a photographic shoot are deemed to be at said persons own risk. 

The photographer/s cannot be held responsible for any personal accidents during a photographic shoot. 

Governing Law 

This agreement shall be governed in accordance with the laws of England and Wales.
